Booking Terms and Conditions
Version 1.0 – April 2025
These Terms and Conditions (“Terms”) apply to all bookings made with The Bubbling Toad. By making a booking, you agree to comply with these Terms and all related policies, including our Consent & Participation Policy, Safeguarding Policy, and Privacy Policy.
- Bookings & Payment
1.1 All bookings are subject to availability and will be confirmed in writing once payment is received.
1.2 A deposit or full payment is required to secure your booking, as specified at the point of sale.
1.3 Prices are fixed at the time of booking and include VAT where applicable.
1.4 We reserve the right to cancel unpaid bookings after a specified period (typically 5 working days).
- Cancellations & Refunds
2.1 If you need to cancel, please notify us in writing as early as possible. Refunds are issued as follows:
- More than 14 days prior: Full refund
- 7–14 days prior: 50% refund
- Less than 7 days: No refund
2.2 In the unlikely event we must cancel or postpone an event, you will be offered an alternative date or full refund.
2.3 Please refer to our Consent & Participation Policy regarding exceptional cancellations (e.g. due to medical or safeguarding concerns).
- Changes & Rescheduling
3.1 Requests to reschedule must be received in writing at least 7 days before the event.
3.2 Rescheduling is subject to availability and may incur an administrative fee.
3.3 We reserve the right to change the format, venue, or timing of an event for operational or safety reasons.
- Participation & Behaviour
4.1 All participants must follow reasonable instructions from our staff at all times.
4.2 We reserve the right to remove individuals who display disruptive, unsafe, or inappropriate behaviour. No refund will be given in such cases.

- Photography & Image Use
5.1 We may take photos and videos during sessions for marketing and educational use.
5.2 By attending, you consent to being photographed or filmed, and to the use of this material by The Bubbling Toad in digital and print media.
5.3 If you do not consent, you must notify us in writing in advance.
5.4 For participants under 16, consent must be provided by a parent or legal guardian via our Consent & Participation Form.
5.5 Image use is governed by our Privacy Policy and Consent & Participation Policy.
- Safeguarding & Supervision
6.1 Our staff are trained in safeguarding, and we adhere to current UK legislation.
6.2 Children must be accompanied by a responsible adult unless the event is explicitly described as suitable for unaccompanied minors.

- Liability & Insurance
7.1 Participation is at your own risk. We are not liable for injuries or losses unless caused by our proven negligence.
7.2 Please ensure you disclose any allergies, medical conditions, or special requirements at the time of booking.
7.3 Personal property is the responsibility of the individual.
7.4 We hold public liability insurance.
- Data Protection
8.1 We collect and process personal data in accordance with our Privacy Policy and GDPR regulations.
8.2 Your information will not be shared with third parties unless legally required or with your explicit consent.
8.3 You may request access to, or deletion of, your data at any time.
